Privacy Policy

Last updated: November 5, 2026

BC Orthotics (“BC Orthotics”, “we”, “us”) is a referral service that connects people in British Columbia with custom orthotics providers. This policy explains what personal information we collect through this website, how we use and share it, and the choices you have. By submitting a request, you agree to the practices described here.

1. Who we are

BC Orthotics is not a clinic and does not provide medical advice, diagnosis or treatment. Your assessment, treatment plan and any products come from the provider you are matched with, and that provider is responsible for how it handles your information once it receives it. For privacy questions, contact us at info@bcorthotics.com.

2. Information we collect

When you submit the appointment request form, we collect the details you give us:

  • Your name and email address
  • Your phone number, if you choose to provide it
  • Your area in British Columbia
  • The service you are looking for and whether you prefer a mobile or in-clinic visit
  • Anything you write in the message box
  • Your consent to be contacted, and the date and time you submitted the request

If you email us, we collect your email address and the contents of your message. Like most websites, our web host may also keep basic technical logs (such as IP address, browser type and the pages requested) for security and troubleshooting.

3. Health-related information

The message box is for a short description of what you need, such as the area of your foot or leg that is bothering you. Please do not include health card numbers, insurance details or detailed medical history. Your provider will ask for what they need during your appointment.

4. How we use your information

  • To match your request with a provider who serves your area
  • To contact you, or have a provider contact you, about your request
  • To respond to your questions and run and improve this website and service
  • To keep records of your consent and to meet legal obligations

We only send you messages related to your request. We do not sell your information to advertisers.

5. Who we share it with

We share the details in your request with one or more partner providers (certified pedorthists and clinics) who serve your area, so they can contact you and arrange an appointment. BC Orthotics may receive payment from providers for referrals.

We also use trusted service providers, such as website hosting and email services, who handle information on our behalf and only for those purposes. We may disclose information if required by law or to protect rights, safety or security. Some of these providers may store information outside British Columbia or Canada.

6. Your consent and choices

We collect, use and share your information with your consent, which you give by ticking the consent box on our form. You can withdraw consent at any time by emailing info@bcorthotics.com. Withdrawing consent may mean we can no longer help match you with a provider. Information already shared with a provider will need to be addressed with that provider directly, and we can help you identify who received it.

7. Cookies and third-party services

We do not currently use advertising or analytics cookies. This website loads fonts from Google Fonts, which means your browser connects to Google’s servers and Google may receive your IP address. If we add analytics or advertising tools in the future, we will update this policy.

8. How long we keep information

We keep personal information only as long as needed for the purposes described in this policy, or as required by law, and then securely delete or anonymize it.

9. How we protect information

We use reasonable safeguards, including access controls and reputable hosting and email services, to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please avoid sending sensitive information by regular email.

10. Your rights

Under applicable Canadian privacy laws, including British Columbia’s Personal Information Protection Act, you may ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. To make a request, email info@bcorthotics.com. We may need to confirm your identity first. If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia.

11. Who this site is for

This website is intended for adults. If you are making a request for a child, please do so as their parent or legal guardian.

12. Changes to this policy

We may update this policy from time to time. The “Last updated” date above shows when it was last changed. Continued use of the site after an update means you accept the revised policy.
